Prom: Reminders

Dear C1s and C2s

More reminders for you guys!

1. Table Allocation

Please be reminded that the second day of table allocation is scheduled for Wednesday, 25 August. Some of you have approached the committee as there is a Physics test after school. However, as the timing has already been scheduled, we are unable to change the day of table allocation. If there is no one from the table who is available for the table allocation, please get any of your friends to help choose your tables. Otherwise, your turn will be skipped so Table ICs do remember to find your replacements.

2. Performance Auditions

The last day for audition form submission is also on Wednesday, 25 August. If you have not already done so, please obtain an auditions form from the council benches and submit it by tomorrow should you wish to audition for prom. You may place the form in the box at the council benches.

Audition dates for C1s are on 2 and 3 September, next Thursday and Friday. The dates for C2s are set for 22 and 23 September although this is tentative and subject to changes. Rest assured, they will definitely be after your Prelims. We will be contacting you all to confirm your time slot and day of audition.

Dear C2s,

Thank you for your continuous support for prom. Good news: After repeated negotiations with the hotel coordinator, they have decided to extend the ballroom to include more tables. Hence, CTs who were previously put on the waiting list have now managed to secure a place at prom.

Here are some general updates:

1) CT page for prom magazine

We understand that there are many of you who are very busy and hence unable to submit your designs by the stipulated dateline. As such, we have extended the deadline to Sunday (22 August). Also note that the class page would be printed in black and white and A5 size. Please refer to www.hcunite.com for more details regarding the resolution and protocol.

2) Dedications page

Apart from the class page, we also strongly encourage you to design pages for your CCAs or close friends for memory’s sake. Here are the rates:

First 50 words (50)

$10

Subsequent 50 words or part thereof (50+)

$5

Half Page (half)

$25

Full page (full)

$50

Please send your designs in by next Sunday (29 August).

If it is in the form of words, send it to us in the .doc format.

If your words take up half a page (regardless the number), we will charge you the price of half a page.

If the words take up slightly too much space, we will resize appropriately.

Label your document in the following format:

Dedication_50/50+/half/full_YOUR NAME_CT

3) Table allocation
We will be allocating the tables to each table next Monday (23 August) at A412 and Wednesday (25 August) at A404. Please refer to the following schedule attached and come PUNCTUALLY. If the table I/Cs are unable to make it, kindly send someone else from your table to come down and select your table. You WILL NOT be allowed to enter the room until it is your turn.

4) Title nominations
There are quite a number of CTs who have not submitted their title nominations form. Kindly do so as soon as possible. For your information, we will not release the information of the nominees until they have accepted their nomination. In order to facilitate this process, we hope that all of you make the effort to persuade the people you have nominated to accept their nominations!
5) Booking of hotel rooms
Please email us your particulars (name, class, contact number) at hcprom2010@gmail.com if you wish to book a hotel room. Do note that we will pass you the contact of the hotel coordinator for you to liaise directly. DO NOT call up the hotel because the rates they provide is slightly different from the ones the coordinator has promised us.

6) Flower sales
We would be providing flower sales services too and this would include delivery of the flowers to the recipient from any table during the prom itself. Small notes written for the recipient will be delivered over too. We are selling flowers in single stalks and bundles of 3 so do think about whether you would require such services!

Prom: Updates!

Hi C2s!

First off, thank you SO MUCH for all the support for prom night! This is just the start of the build-up towards an amazing prom to draw to a close your time in Hwa Chong, and we promise to put in our best effort in making this your fantasy prom.

Next, all tables have already been fully booked. We sincerely apologise to those who have not managed to book a table. The maximum number of tables allowed in the ballroom is 100 (which is larger than the standard ballroom capacity), however, the demand has exceeded that of 100 tables. The hotel is unwilling to expand its capacity due to space constraints and thus, we cannot accommodate everyone. We do accept additional members in any table to make a table of 11 but we regret to inform that the maximum quota of 15 tables of 11 has already been reached. However, there are some tables of 9 that are looking for 1 more person to join them. If you are looking for a ticket to prom and do not mind sitting with others, please email your particulars to hcprom2010@gmail.com so that we can link you up with the respective table I/Cs to arrange for your seat. We will operate on a first come first serve basis.

Also, here are some very important updates:

1) Booking of room in Shangri-la

If you would like to book a room at discounted rates (i.e. $288++ instead of $350-400), please email your name, class and contact number to hcprom2010@gmail.com so that we can facilitate the booking between you and the hotel. Please note that we will merely send you the email address of the hotel coordinator so that she will be liaising directly with you in the booking of rooms.

2) CT Page in Prom Magazine

Each CT is entitled to one free page in the prom magazine. Each page is A5 size with a resolution of AT LEAST 300dpi. Your design has to be in landscape format. Do note that these pages will be in black and white. Please design your class page, title it “CT_design” (e.g. 09S78_design) and send it in JPEG format of highest resolution to hcprom2010@gmail.com by 22 August.

Attached is a template for those of you who do not wish to design your CT page (click here for template). Select 4-6 photos of decent resolution and decided where you want to place each photo according to the labeled template. Photo A is compulsory and of the remaining 5 photos at least 3 have to be filled. Unfilled spaces will be left blank. Rename the photos in the format “CT_photo position” (e.g. 09S78_A) and send it in a zip folder titled with your CT (e.g. 09S78).

3) Additional pages in Prom Magazine

If you wish to dedicate words or design a page for your teachers/CCAs/special group of friends, here are the details:

First 50 words $10
Every 50 words part thereof $5
Half page $25
Full page $50

4) Table Allocation

Due to the inaccurate floor plan provided by the hotel on the day of ticket sales, we will be reallocating tables. However, you will still get to choose your tables on the 23rd and 24th August. We will upload a document onto EMB nearing the date of table allocation and ticket collection which will detail the timings that the various Table I/Cs are to come down to choose their tables. The priority and order given to each table is based on the exact order that you came to book your tables on the 2nd and 3rd of August.  Please ensure that the table I/Cs come down punctually and queue up in an orderly fashion. If the table I/Cs are unable to make it, please send another representative from the SAME table down.

5) Tickets

You will receive your tickets immediately after selecting your table on the 23rd and 24th. Table I/Cs are reminded to bring along receipts for validation. We will not issue the tickets to you if you do not bring it. Please also understand that there will be no replacement of tickets should you lose yours, so it is your own responsibility to ensure that you keep it safely.

6) Auditions

For those of you who would like to perform during prom, please fill up the auditions form that is already placed at the council benches. Do note that the deadline for the forms is on the 25 August.

7) Take care of your belongings

We understand that many of you have been paying back the value of your ticket to your table I/Cs who issued the cheque. We urge you to be especially careful when handling such large amounts of money as there have been reported cases of theft in school. As such, please guard your wallets!

Prom Ticket Sales

Hey C2s!

We hope you guys enjoyed the CMS presentation just last Wednesday!

Thank you for being such enthusiastic audience!

We would like to follow up on our presentation by reiterating and clarifying a few key points mentioned earlier:

1)      Ticket price: $90

2)      Only one cheque per table

3)      Cheque made payable to “Hwa Chong Students’ Council”

4)      Write the name, CT and contact number of the table i/c at the back of the cheque.

5)      Booking of tables is on a FIRST COME FIRST SERVED BASIS

6)      Failure to provide the correct amount of money, correct writing of cheque (i.e. “Hwa Chong Students’ Council”) or submission of an incomplete ticket order form will result in you being moved to the back of the queue.

7)      If you would like to book hotel rooms, do send your particulars (full name, CT and contact number) to hcprom2010@gmail.com.

8)      If you are unable to find 10 people for now, you MAY book a table as long as you pay $900 dollars for the table of 10. Please update us on the new members of the table as soon as possible.

9)      For tables with less than 10 people, we would have to combine tables and it could be with people you are not acquainted to. Hence, to avoid such a situation, do form your tables fast.

10)   There will be NO financial assistance for ticketing.

FOR VEGETARIANS:

Join a table that has already 10 people to form a table of 11 people.

In this case, everyone pays $90, including the vegetarian.

FOR MUSLIMS:

There is a Muslim chef in the hotel that can provide Halal meals.

But since the minimum number for Chinese food is 10, join a table of 10 eating Chinese cuisine to form a table of 11 people.

In this case, everyone pays $90 as well.

And just a reminder: TICKET SALES START ON MONDAY (2 August 2010), 3.30pm sharp at the central plaza. It will last till 5.30pm. In the event where it rains, it would be at the inner plaza.

Here’s a checklist to make sure you bring everything that is needed for table bookings:

-          Ticket order form

  • Appoint a table i/c
  • Fill in ALL particulars

-          Cheque

  • Made payable to “Hwa Chong Students’ Council”
  • Write the name, CT and contact number of the table i/cs at the back of the cheque

On a separate note, the deadline for the title nomination forms are due THIS THURSDAY, 5 August. For those who do not have the forms or you wish to nominate someone who is not in your class, you may pick up a form at the council bench.
